What Changed & What It Means For You

This month: 10 updates across Documents, Document Processes, Models, Insights, Field, Mobile, Cost, Lobby, and API.
The most important one started automatically — whether you were ready or not.
Oracle has automatically switched every Aconex user to the new enhanced upload. This happened without user action — you did not choose this, it was applied to your account.
- The new upload provides a modern, intuitive flow with flexible templates
- The old classic upload is still available for a limited time — it will be retired in the coming months
- It lays the groundwork for future improvements, including registering multiple file types under a single document
You no longer need to maintain separate Excel templates for each upload flow. One template now works across all of them:
- Add or Update Documents
- Add or Update Placeholders
- Bulk Processing
- Update Metadata Only
Download the template once from any flow — use it in all of them. The rules for each flow still apply (e.g. the file column is ignored when creating placeholders).
Project Admins can now decide which upload template format is used on their project — multi-sheet (one tab per document type) or single-sheet (all fields in one sheet).
Previously this was determined automatically by whether the project used project fields on document types. Now you choose.
The Transmittal History reports have been updated with version tracking:
- Transmittal History by Organization — now includes Current Version and Sent Version columns
- Transmittal History by Document — now includes Version Sent column
Document Processes now supports review of Microsoft Office files — Word (.docx) and Excel (.xlsx). Previously only PDF and CAD files could be reviewed inside the module.
- Start a Document Process review for Word specifications and Excel data sheets
- Pinning issues directly to the document is not yet supported for Office files — but general issues can be added to the issues list
- Available on MEA and KSA1 instances
You can now configure what happens when a review step receives a negative outcome. When setting up each step in the Review Matrix, a new option allows you to complete (terminate) the review on rejection.
- Available for both sequential and parallel review steps
- Example: terminate the entire review the moment HSE rejects — no further reviewers waste time on a document with fundamental safety issues
- Documents return to the originator with all pinned issues for revision
When exporting object properties from Models to CSV, you can now select your preferred unit system — Metric or US Customary. The system exports all linear, area, and volume values in your chosen units.
- Column headers in the CSV clearly show the unit abbreviation (e.g. m², ft²)
- Your browser remembers your preference unless you clear the cache
- Eliminates manual unit conversion after export — reducing errors in downstream analysis
A new report is available for Org Admins and Project Admins to manage project participants and identify active users. Requires the Download Project Participant Report permission.
The report shows:
- All projects owned by your organization
- All organizations participating on your projects — helps identify organizations to archive
- All users participating on each project — helps identify hidden users in the directory
- Users who have accessed Aconex in the last 60 days — identifies active vs dormant accounts
- Custom date range filter — now available directly in the report editor and schedule editor (previously only when running the report)
- Inspection assignees — new Assigned Organization and Assigned User columns added to the standard Field Inspection report
- Associates can now select any configured organization (not only the project-owning org) to approve their test plan template — if no Administrators exist in their organization
- Test Plan Administrators can configure the list of available approvers in project settings
- New: if a PDF form has duplicate field names when uploading, the system now automatically corrects them rather than failing the upload
- New: event log now available for safety observations — shows who did what and when for legal compliance
- Export your test plans list to Excel directly from your mobile device — aligns with the web app functionality
- Share a filtered view of test plans with stakeholders from your phone
- New: view a photo's GPS location directly in the mobile app
- Learn the new enhanced upload interface
- Replace your template library with the universal template
- Check Transmittal History reports for version columns
- If on MEA/KSA1: activate Office file review in Document Processes
- Go to Project Preferences → choose your upload template format
- Configure negative outcome control in Review Matrix rules
- Update Test Plans approver settings if needed
- Train your team on the new upload before classic is retired
- Run the new Project Participant Report
- Identify dormant accounts and inactive organizations
- Grant Download Project Participant Report permission to relevant users
- Prepare for your next license review with accurate user data
- Set your preferred units in Models export settings
- If reviewer: check Document Processes inbox for Office file reviews
- Mobile users: update the Aconex app to get test plan Excel export
- HSE teams: check new observation event log in Field

التحكم في النتائج السلبية. لما تضبطي قواعد الـ Review Matrix دلوقتي في خيار لإنهاء المراجعة تلقائياً عند الرفض. مثلاً: لو الـ HSE رفض — المراجعة بتنتهي فوراً ومحدش تاني بيضيع وقته على مستند بمشكلة أساسية.
Field: Test Plans دلوقتي بيسمح لـ Associates باختيار أي منظمة للموافقة. PDF Forms بيصلح أسماء الحقول المكررة تلقائياً. سجل أحداث جديد لـ Safety Observations.
Mobile: تصدير Test Plans لـ Excel من الموبايل. عرض موقع الصورة على الخريطة في التطبيق.
